Quote software for installers should speed up three things: the pricing, the sending and the yes. Most businesses already have the first one under control. The time leaks out of the other two: the quote that sits in drafts for two days, and the signature nobody chases.

This post covers what matters in quote software with e-signature for made-to-measure work and how the flow looks in meetpiloot.

What to look for in quote software with e-signature

Prices from tables, not from memory

For made-to-measure products, the price depends on width, depth or height and on options such as colour, glass or motorisation. Good quote software works from price tables and per-option surcharges, so every quote is priced the same way whoever creates it.

In meetpiloot you load your own price tables and surcharges. Sizes you have no price for cannot be requested in the first place, so you never get an enquiry for something you do not supply.

The quote comes out of the enquiry

If the customer has already given sizes and options, nobody needs to retype anything. As soon as an enquiry comes in, meetpiloot prices it with your tables and turns it into a PDF. You add phone and showroom enquiries yourself, priced from the same tables.

Your own branding

A quote is often the first document a customer holds from you. Logo, colours, a proper cover page and a short introduction make a difference. In the template editor you set that up once, and your invoices use the same look.

Signing online instead of print, sign, scan

A quote that has to be printed, signed, scanned and emailed back gets signed later, or not at all. With meetpiloot, your customer opens the quote from a link and signs or declines online, in their own language. You get a notification immediately. 792 quotes have been signed through meetpiloot so far.

Follow-up without having to remember

If the customer does not respond, a reminder goes out automatically after a number of days you choose. Why that matters so much is covered in follow up quotes automatically.

From enquiry to invoice

  1. Enquiry arrives from your website, the configurator, WhatsApp or the phone.
  2. Indicative quote goes out automatically or after your check.
  3. Survey booked in the calendar; the customer gets a calendar invitation by email.
  4. Final quote after the survey, from the same price tables.
  5. Online signature, with an instant notification to you.
  6. Order with deposit: the signed quote becomes an order with a percentage deposit and a final invoice. You mark invoices as paid, or the customer pays online from a payment link.

You do not have to use every step. If you sell in one go, skip the indicative quote.

Common mistakes that cost jobs

  1. Vague scope. "Fitting included" is not enough. Say what is in: groundwork, fixing to the house, waste removal, access.
  2. No validity date. Without one, the customer does not know how long the price holds. Two to four weeks gives a gentle reason to decide.
  3. Too many options in one quote. Three alternatives make deciding harder. Send one clear quote and offer variants on request.
  4. No next step. Spell out what happens after signing: deposit, ordering, lead time, installation date.
  5. Too slow. A quote that arrives a week after the survey competes with quotes that arrived the next morning.

Which products this works for

For verandas, louvred roofs, glass sliding doors, awnings, window frames, roller shutters, fencing, dormers and extensions there is a visual configurator that delivers the enquiry complete with sizes and options. More in the veranda configurator guide.

For flooring and other made-to-measure work without a configurator, you build a quote form on Pro with your own pricing logic. Your customer enters sizes and choices, the price follows your rules, and the quote is created just as automatically.

Checklist

  • Does it price from your own tables and surcharges?
  • Is the quote created from the enquiry, with no retyping?
  • Can the customer sign online, on a phone?
  • Is there automatic follow-up?
  • Can you see in one place which quotes are open?
  • Does the signing page speak your customer's language?

For the whole sales process, see CRM for tradespeople. The quote features in detail are on the quotes page.

Frequently asked questions

  • Is an electronic signature on a quote legally valid in the UK?

In England and Wales, the Law Commission has confirmed that an electronic signature is capable in law of being used to execute a document, provided the signer intends to authenticate it. A quote accepted online is accepted like any other. For consumer contracts, the usual information duties and cancellation rights still apply. Check your terms with your legal adviser if you are unsure.

  • Can I send an indicative quote first and a final quote after the survey?

Yes. Many installers work that way. Both quotes come from the same price tables.

  • Do I have to check every quote before it goes out?

No, that is your choice. The quote can go to the customer automatically as soon as the enquiry is in, or come to you first for a check.

  • Can quotes and invoices be in pounds with UK VAT?

Yes. A UK account runs in pounds, with 20% VAT as the standard rate on quotes and invoices, and both use the same branding.

  • Which languages can my customer sign in?

English, Dutch, German, French, Polish, Spanish and Turkish. The signing page opens in your customer's language.
